Booking & Cancellation Policy
Booking & Deposit Policy
To reserve an event date, Petra Iventz & Printz requires a signed service agreement and a booking retainer equal to 50% of the agreed service total, unless your written proposal states another amount. An inquiry, consultation or proposal does not hold a date. Dates are confirmed only after we accept the signed agreement and retainer.
The retainer is applied toward your total and allows us to reserve production time, begin design and planning, and turn away conflicting work. It is nonrefundable once the booking is confirmed, except where required by law or where Petra cancels without offering an agreed replacement. Before committing to a nonrecoverable third-party purchase, custom order or rental, we will identify the item, amount and supplier cancellation terms in writing and obtain your approval. Approved costs are tracked in your event file.
The remaining balance is due 14 calendar days before the event. For an event booked 14 calendar days or fewer before its event date, the full contracted amount is due when signing to reserve the date. That short-notice payment is nonrefundable once the booking is confirmed, except where required by law or where Petra cannot provide the contracted services and no mutually accepted substitute or new date is arranged. Changes to guest count, venue, installation access, design or rental quantities may change the final price; we will document and obtain approval for any added charge before ordering or producing the change. Work may pause, and the date may be released after written notice, if a payment remains overdue under the agreement.
Cancellation, Rescheduling & Refund Policy
Please send cancellation or rescheduling requests to info@petraiventzandprintz.com. The effective date is the day we receive the written request. For bookings made more than 14 days before the event, the booking retainer is handled as stated above. For cancellation more than 30 calendar days before the event, we will refund payments beyond the retainer, less approved, nonrecoverable third-party costs and work already completed beyond what the retainer covers. For cancellation 30 days or fewer before the event, we will account for design and planning work performed, custom goods produced, labor committed and nonrecoverable vendor or rental charges. Any amount paid beyond those charges and the retainer will be refunded. We will provide an itemized accounting on request. The short-notice full-payment rule for bookings made 14 days or fewer before the event takes precedence over these standard cancellation calculations, subject to applicable law and Petra's inability to perform as described above.
A change of date is subject to our availability and the availability and policies of third-party vendors. One reschedule requested at least 30 days before the original date may apply amounts paid to a new date within six months, less approved nonrecoverable costs and any difference in pricing. Later requests, further changes or unavailable dates may be treated as a cancellation. Any new date must be confirmed in writing.
If Petra cannot provide the contracted services and no mutually accepted substitute or new date is arranged, we will refund payments for services not delivered. If severe weather, a venue closure or another event outside either party's reasonable control interrupts the event, both parties will discuss a practical reschedule or accounting for work performed and committed costs under the service agreement. Custom printed items and special-order goods cannot be returned once production begins unless they are defective or materially differ from the approved proof. This policy does not limit rights that cannot be waived under applicable law.
